Service Guidelines & Procedures

  1. Read this website carefully and fill out, sign, and date application. Failure to submit a fully completed application will delay the translation / evaluation.
  2. Submit three legible photocopies of benchmark credentials. Copy size: 8.5 “ by 11” to 11.5”; if documents are larger, reduce two sets to this size. Any entries on overleaf must be copied. Each set of documents must be in chronological order, beginning with the lowest level of education on top. If you are submitting syllabi, only one copy is needed, not three.
  3. Submit your original / official documents which will be returned to you; documents to be submitted: transcripts of subjects and grades, diplomas / certificates of graduation, related syllabi. Notarized copies will not be returned. Note: Many boards/ institutions demand that we attest that we have examined your original documents; therefore, we may require that you submit these to SpanTran for review. These will be returned to you by certified mail (domestic certified mail fee is $15).
  4. Submit all pertinent fees. If you are unsure how much to send, submit a $50 document-review fee; please be advised that this money will not be applied to the total cost of the selected service, i.e. translation / evaluation / special purpose letter.
  5. After the documents are reviewed, you will be sent a response by mail, fax, or email. This letter may state costs including balances due, may request additional documentation, and may specify that you arrange for the foreign institution(s) to mail official documents to SpanTran.
  6. Approximate completion schedules are: Evaluations, three to five weeks; translations, two to three weeks; special purpose letters, three to five working days. None of these will be initiated until all requested documents and fees have been received; document authentications and special research may further delay the work. Therefore, due dates are approximate and time frames may vary.
  7. For the fees stated herein, duplicate evaluations, translations, and special purpose letters are supplied. Additional copies may be purchased.
  8. SpanTran is not responsible for data errors / omissions in the application or documentation. Corrections of errors / omissions for which SpanTran is responsible will be made without charge if written request is received within thirty calendar days of date of evaluation / translation / SPL issuance. Other changes are subject to normal charges. All original translations / evaluations / special purpose letters must be returned to SpanTran before any changes will be made.
  9. SpanTran reserves the right to require translation review and to charge for the same.
  10. SpanTran verifies documents and reports alterations/fraud to appropriate authorities.
  11. All information in this website takes effect on 6 September 2004. Effective on the same date, all fees paid are non-refundable except for overpayment.
  12. Your signature on application constitutes acceptance of all conditions set forth herein.
